Job Description
We are looking for a motivated and detail-oriented Administrative Assistant to support our administrative and operational functions. This role requires fluency in both Japanese and English as you will be handling communications, documentation and operations in both languages. While most of our suppliers and customers are international, our contractors are local.
You will play a key role in organising daily administrative tasks, coordinating with team members and clients, and ensuring the smooth running of our business processes.
Key Responsibilities
Provide translation support for communication with suppliers, contractors, and clients
Copywriting and content development for website articles, newsletters, and emails
Attend meetings, take detailed notes, and distribute action points
Perform basic bookkeeping tasks, ensuring accurate record-keeping
Promote the business to local contractors and follow up on potential leads to secure new clients
Conduct research to support business initiatives
Optional Responsibilities
Assist with graphic design for marketing materials and presentations
Content creation for Instagram, Facebook and Twitter
Skills & Requirements
Language Proficiency – Fluent in both Japanese and English, with strong written and verbal communication skills
Experience – Preferred but not necessary; we're looking for individuals with a strong willingness to learn and grow
Organisation – Ability to multitask and prioritise tasks efficiently
Attention to Detail – High level of accuracy in work
Proactive – Ability to work independently
Problem Solving – A proactive approach to identifying and solving issues before they escalate
Bookkeeping – Familiarity with bookkeeping software and general accounting
Bonus Skills
Graphic design experience (Adobe Suite or similar)
